Who we are

MassageDeskAI ("we", "us") is front-desk software for massage businesses, including staff rotation, bookings, checkout, daily reports and an AI phone receptionist. The service is operated by Nearli LLC, an Illinois limited liability company. This policy explains what information we handle and how.

Information we collect

• Account information from business owners and their staff: name, email address, phone number, business name and address, and login details.
• Business data that a business enters or that is created while using the service: services and prices, staff names and schedules, rooms, bookings, customer names and phone numbers, payment method records, tips, discounts and daily reports. We do not collect full card numbers; card payments are recorded only as a payment type and amount.
• Phone and text data, when a business turns on the AI phone receptionist or text messages: caller phone numbers, call recordings or transcripts, booking details given during a call, and messages sent to or from the business number.
• Billing information for subscriptions, processed by our payment provider. We do not store full card numbers.
• Technical data: device and browser type, IP address, pages used and error logs, used to keep the service working and secure.

Demo version

The public demo at massagedeskai.com/demo stores all data in your own browser. It is not sent to our servers. Clearing your browser data removes it.

How we use information

• To provide the service: show schedules, take and confirm bookings, answer calls, record checkouts and produce reports.
• To support customers, fix problems and keep the service secure.
• To send account and service messages, such as booking confirmations, security notices and billing receipts.
• To improve the service, using aggregated or de-identified information where possible.
• To meet legal obligations.

Businesses control their customer data

Each business decides what customer information it records in MassageDeskAI. We process that information on the business's behalf and only to provide the service to that business. One business cannot see another business's data.

Text messaging

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.

How we share information

We do not sell personal information. We share information only:

• With service providers that help us run the service, such as cloud hosting, databases, telephone and text messaging carriers, speech and AI language processing, email delivery and payment processing. They may use the information only to provide services to us.
• When required by law, or to protect the rights, safety and security of our users, the public or us.
• As part of a merger, acquisition or sale of assets, with notice to affected businesses.

Retention

We keep business data for as long as the business's account is active. After an account is closed, we delete or de-identify its data within 90 days, unless we must keep certain records longer to meet legal, tax or accounting requirements.

Security

We use encryption in transit, access controls and separation between businesses' data. No system is perfectly secure, and we will notify affected businesses of a security incident as required by law.

Your choices and rights

Business owners can view, correct, export and delete their data in the app, or by contacting us. If you are a customer of a business that uses MassageDeskAI, please contact that business first; we will help them respond to your request. Depending on where you live, including California, you may have rights to know, access, correct or delete personal information. We will not discriminate against anyone for using these rights.

Children

The service is for businesses and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Changes

We may update this policy. If we make material changes, we will notify business owners by email or in the app before the changes take effect.
